Create a Transition Notebook for the next librarian

Purpose:
A Transition Notebook captures the knowledge of the current library director for passing to the next director. Copies of the notebook are kept in the library's office and at CKLS headquarters. The current librarian can update both notebooks immediately before leaving the job as a CE Project, worth $50. When the new librarian takes over the Head of CKLS CE will go over the notebook's contents with the new librarian.

  • Three-ring binder containing content from Transition Notebooks already created by others.
Library work component:
Place the following in two three ring binders.

  1. Filled out questionnaire "Transition Notebook for [LIBRARY NAME] Library"
  2. Copy of your library policies and personnel policies.
  3. Board minutes for the last 12 months.
  4. Copy of last year's budget
  5. Copy of last year's annual statistical report for your library
  6. Copy of the latest CKLS System plan (Provided by CKLS)
  7. Organizational chart of CKLS (Word document)
  8. Copy of last year's system questionnaire for your library
  9. Dictionary of Library Terms (Word document)
  10. Documents describing library organization or processes.
    • Organizational chart
    • Checklist for opening the library
    • Checklist for closing the library
    • Instructions for ordering books
    • Instructions for making interlibrary loans
    • Schedule for maintaining computers
    • Passwords for computers and all Web sites
  11. Mail the second three-ring binder to the Head of Continuing Education at CKLS, 1409 Williams Street, Great Bend, Kansas. When the new librarian takes over, CKLS’ Head of CE will bring this binder to the new librarian. They will go over it together.
